Scope of Position:

The Administrative Assistant 3 independently provides advanced administrative, project coordination, and operational support to Quality & Operations Administration. The role supports enterprise‑wide quality programs and committees, requiring application of specialized knowledge, independent judgment, and discretion. Responsibilities include coordinating complex workflows, managing sensitive information, supporting compliance‑driven activities, and ensuring efficient administrative operations across multiple leaders and initiatives. The position operates with limited supervision, prioritizes competing demands, and contributes to continuous process improvement.

Position Summary:

Under the direction of Quality Leadership, the Administrative Assistant 3 serves as a technical individual contributor responsible for coordinating high‑level quality program logistics and performing advanced administrative functions. The role independently manages calendaring, purchasing, timekeeping, data and records management, reporting, and communications in support of directors, committees, and enterprise quality initiatives.

The position requires advanced organizational skills, professional judgment, and discretion, particularly when handling confidential information and interacting with faculty, medical staff, leadership, and external stakeholders. The Administrative Assistant 3 proactively anticipates needs, resolves routine issues independently, and escalates complex concerns appropriately.

Minimum Qualifications:

  • Qualifications per Classified Civil Service requirements, include high school diploma or GED, certification or vocational training may be required.

  • Minimum 2 years of relevant experience required.

Preferred:

  • Associate degree in relevant field may be preferred.

  • 4-6 years of relevant experience.

  • Proficiency with PC based systems and standard office software.

  • Strong analytical, communication, and organizational skills

  • Ability to interpret technical, financial, and administrative information.

  • Proven ability to manage multiple priorities independently

  • Prior experience in a healthcare or comparable professional setting preferred.
